Job Summary:

The Office and Event Coordinator supports the daily operations of Koin’s office, facilitates seamless company events, and manages the showroom calendar. This position reports to the Director of Marketing at Koin but will have responsibilities for the entire C-suite and the Koin office. The ideal candidate will ensure efficiency in office administration, organize impactful events, and oversee showroom operations to enhance internal and external engagement.

Responsibilities:

  • Manage office supplies, inventory, and vendor relationships.
  • Oversee office maintenance, repairs, and facility management.
  • Maintain office procedures and organizational systems.
  • Assist with onboarding new employees (desk setup, access credentials, welcome packages).
  • Maintain updated employee contact lists and seating arrangements.
  • Support HR with internal communications and coordination.
  • Schedule and manage conference rooms for meetings.
  • Coordinate leadership and departmental meetings.
  • Ensure necessary materials and tech setups are available.
  • Manage vendor contracts for office-related services.
  • Organize and distribute important internal announcements.
  • Support company-wide initiatives for employee well-being.
  • Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
  • Coordinate with courier services for special deliveries.
  • Provide general support for visitors.
  • Ensure the showroom is clean, organized, and fully stocked with necessary materials.
  • Maintain an updated inventory of all showroom assets and equipment.
  • Coordinate with vendors and teams to update product displays as needed.
  • Prepare the showroom for client visits, ensuring a professional and engaging experience.
  • Provide support for product demos.
  • Track showroom usage and schedule availability.
  • Assist with the planning and execution of showroom-based events.

 

Event Coordinator Responsibilities:

  • Plan and execute internal events (holiday parties, potlucks, team-building activities).
  • Coordinate logistics for employee engagement initiatives.
  • Organize office celebrations and themed events.
  • Manage event planning for client meetings, conferences, and trade shows.
  • Coordinate travel, accommodations, and schedules for off-site events.
  • Collaborate with vendors for catering, décor, and event materials.
  • Develop event budgets and track expenses.
  • Secure necessary approvals and negotiate vendor contracts.
  • Oversee event setup and breakdown to ensure seamless execution.
  • Assist with promotional materials for events.
  • Collaborate with marketing to enhance Koin’s brand presence at events.
  • Create event sign-up sheets and engagement initiatives.
  • Send out event invitations and reminders.
  • Gather employee feedback to improve future events.

 

Skills & Experience

  • Minimum 1-2 years of experience as an Office Coordinator, Event Coordinator, or Office Admin Assistant.
  • Experience managing office operations or event planning preferred.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (Word, Excel, and PowerPoint).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organizational skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to be flexible with work hours as system emergencies arise.
  • High school diploma required; associate degree preferred; additional qualification as an Office Coordinator will be a plus.

Physical Requirements

  • Sit for prolonged periods.
  • Ability to speak effectively and clearly to answer phone calls.
