Job Summary:

Koin is recruiting an Office Coordinator. This position will report to the Director of Corporate Communications at Koin but will have Office Coordinator responsibilities for the entire C-suite and will also be the Office Coordinator for the Koin office. 

Responsibilities:

Responsibilities 

  • Handle administrative tasks as assigned.
  • Coordinate office events.
  • Order office supplies and research new deals and suppliers.
  • Interface with the landlord and other vendors as necessary to manage the office environment and achieve any necessary office modifications.
  • Assist in the preparation of regularly scheduled reports.
  • Write and edit documents form letters to reports and instructional documents.
  • Update and maintain office policies and procedures.
  • Organize and schedule appointments and maintain calendars as required.
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
  • Maintain contact lists.
  • Book travel arrangements as needed.
  • Submit and reconcile expense reports.
  • Provide general support to visitors.
  • Act as the point of contact for internal and external clients.
  • Assist with maintaining cleanliness and orderliness of common areas, including conference rooms and reception areas.
  • Handle incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
  • Coordinate with courier services for special deliveries.

Skills / Experience

  • Minimum 1-2 years experience as an Office Coordinator or Office Admin Assistant.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Word, Excel, and PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Strong organizational skills with the ability to multi-task.
  • Must be a capable multitasker.
  • Ability to be flexible on work hours as system emergencies arise.
  • High School degree required; Associates degree preferred; additional qualification as an Office Coordinator will be a plus

Physical Requirements

  • Sit for prolonged periods of time at a desk working on a computer.
  • Ability to speak effectively and clearly to answer phone calls.
  • Use their hands to type, handle, control, and feel objects, tools, or controls.
  • Repeat the same motions.
